Passing ISN and Veriforce prequalification without the annual scramble

For service companies in oil & gas, utilities and heavy construction, the prequal platform is the gatekeeper: no green light in ISN or Veriforce, no work — regardless of how good your crews are. And every year, usually the week a big renewal lands, the same scramble: who has the current versions? What did we answer last year? Why did our grade drop?

What the platforms actually verify

1. The questionnaire (MSQ). Hundreds of yes/no and describe-your-program questions across hazard assessment, training, incident management, emergency response, subcontractor management, fitness for duty and more. The trap isn’t hard questions — it’s consistency. Answer “yes, we have a documented fatigue management program” and the platform (and any client auditor) expects to find that document, with that scope, in your uploads.

2. Documents. Policies and programs with revision dates, signatures and content matching your answers. Reviewers flag: documents past their stated review cycle, templates with another company’s name still in the footer (it happens weekly), and programs that answer a different question than the MSQ item asked.

3. Numbers. TRIR and related injury rates (usually three years), WCB account standing / clearance, sometimes hours worked and incident details. Rates are computed on the standard 200,000-hour basis — get your hours denominator right, because an inflated TRIR from undercounted hours is a self-inflicted red grade.

4. Increasingly: evidence of operation. Training matrices, inspection samples, incident investigations. Owners are pushing past “do you have a program” toward “show me it ran last quarter.”

Why grades actually drop

• Answer inflation. A “yes” the documents can’t back. One inconsistency puts a reviewer in skeptic mode for the rest of the file.
• Document decay. The program was written once, in a sprint, for the first prequal — and never reviewed since. Review dates lapse; grades follow.
• Unexplained rate spikes. An incident happens; the rate moves; nobody attaches the investigation and corrective actions that show the system responded. Owners don’t expect zero incidents — they expect closed loops.
• The person who knew left. Prequal knowledge living in one coordinator’s head is a single point of failure with an annual deadline.

The order of operations that works

When a questionnaire exposes a gap, the tempting move is to draft a document that says the right words and upload it.
